For directors and approved providers
KindyStudio: a summary for your policy folder. Checked against how the product works on 25 October 2026.
KindyStudio makes resources for children (stories, social stories, schedules, songs, certificates, name cards). It keeps nothing about them beyond an optional first name, takes no photos, and every resource is checked by an educator before a child or family sees it.
Questions from ACECQA's online safety guidance on AI
Grouped under the themes of the NQF Online Safety Guide, chapter 6 (Artificial intelligence and online safety). These are our answers for your service's own reflection; ACECQA does not review or endorse products.
What information about children goes into the tool?
At most a child's first name, only when the educator types one, and only for a resource that uses it (a certificate, a name pack, a personalised story). Most resources are made with no name.
Surnames, initials, ages and dates of birth, photos, health, family and behaviour details, ID numbers and contact details are refused by the forms and by the assistant before anything is saved or sent.
How is personal and confidential information managed when using AI?
The name sits in one column against one resource. Picture and video instructions describe characters by appearance, never by name; the instructions are cleared once each piece is made; the typed topic is replaced by the resource title.
Logs, error records and usage records never hold names or topics. Assistant conversations are not stored by us.
Is anything de-identified?
Nothing about a child needs de-identifying because nothing beyond a first name is accepted. Educators are prompted to describe a situation, not a child (for example "waiting for a turn", not a named incident).
How is family consent handled?
Before a first name is used the educator confirms the family's consent; we record the date and the policy version (never the name). Your service's own consent processes still apply.
A family can have any shared resource taken down from its share page, without an account.
Who checks what the AI makes before a child or family sees it?
The educator. An educator can read and edit the words before any pictures are made, and every resource can be edited, redone page by page or deleted.
Family-facing text (for example a note for families) is copied and sent by the educator; the app never posts to families or messages anyone.
Can the AI act on its own?
No. The studio assistant proposes; the educator confirms. Anything that spends credits, shares a link or changes a resource waits for the educator to press a confirm button, and expires after 15 minutes. The assistant cannot charge, refund, change plans, send email or delete accounts.
Is AI use disclosed to families?
Yes. Share pages say "Made with AI, reviewed by" the educator's display name, and say when text was edited or captions were machine translated.
Does it create documentation about children?
No. It does not write observations, learning stories, portfolios, assessments or anything about an individual child, so your documentation stays the educator's own.
Devices and the room
- Runs in a web browser on a service-issued tablet, laptop or interactive whiteboard. Nothing to install; no personal phone needed, which fits the rules that keep personal devices out of rooms.
- No camera, ever, and no photos of children: there is nowhere to upload one. The tool adds nothing to the image-taking parts of your Regulation 168 digital technologies policy.
- The voice assistant is switched off. If it is ever switched on, it is for a service device off the floor, listens only while the button is held, and records nothing.
- Resources print and export as PDF, so most use in the room needs no screen at all. Video makers carry a note to watch together and keep it short.
Where data lives
| What | Where | How long |
|---|---|---|
| Accounts, resources, an optional first name | Sydney, Australia | Until the educator deletes it or closes the account |
| Failed or cancelled resources | Sydney, Australia | Deleted after 30 days |
| Writing requests (story text, plans, assistant) | A US AI provider | Sent with storage turned off |
| Picture, narration, song and video requests | Our media partners, overseas | Written retention terms requested, not yet received |
| Share links | Off until the educator turns one on | Until turned off or taken down by a family; media links expire hourly |
Training and what we do not claim
- We do not use resources or children's names to train AI. The US AI provider receives requests with storage off and, to the best of our knowledge under its published terms for business use, does not train on them.
- For our media partners we have asked for written confirmation of no training and of deletion after processing. We do not have it yet; this page will change when we do.
- We do not hold ISO 27001, ISO 42001 or SOC 2 certification, and we are not endorsed or approved by ACECQA or any regulator. This page is not legal advice.
For your policy
“Educators may use KindyStudio on service devices to prepare learning resources. No photographs or personal details of children are entered; at most a child's first name is used, with family consent. AI-made resources are reviewed by an educator before use with children, and families can ask for any shared resource to be taken down.”
