How KindyStudio uses AI and children’s information
Last updated 2026-09-13
Draft awaiting review by [ENTITY NAME]. Written so a service can attach it to its digital technologies policy (National Regulation 168). In NSW the regulator is the NSW Early Learning Commission, and this statement is also written to support Child Safe Standard 8 (safe physical and online environments).
The short version
- You type a sentence; AI writes the words and makes the pictures, narration, songs or video.
- The only information about a child that can leave your service is a first name (optional) and the topic text you write.
- No photographs, no surnames, no dates of birth, no health or family details. The product does not ask for them, the forms refuse them, and the name field refuses more than one word.
- Nothing you make is used by us to train AI models. [CONFIRM WITH MEDIA PARTNERS: no training on API requests]
- Your account and resources are stored in Australia. The words are written by a US AI provider, with request storage turned off; pictures, narration, songs and video are made by our media partners overseas. [CONFIRM WITH MEDIA PARTNERS: request data deleted after processing]
- The studio assistant proposes and you confirm: it cannot spend credits, share or change anything until you press confirm, and we keep no chat history on our servers.
- You review every resource before it reaches a child. Every resource can be deleted, and every account can be closed, by you, at any time.
Everything we keep about children, in one place: What we keep about children. A printable summary for directors: For directors and approved providers.
What is sent, per maker
Every maker sends the topic sentence you write. In addition:
- Storybook, social story, story video, puppet show, transition song, rest-time audio, listening game, visual schedule, poster, colouring pages, flashcards, how-to video, avatar teacher: the topic only. A child’s first name is optional and, if you enter one, it is used in the words of the resource and in the narration that reads them. Picture and video instructions never carry the name: the character is described by appearance.
- Certificate: the topic, the award wording you type and the child’s first name (it is printed on the certificate).
- Name pack (name cards, tracing sheets, cubby labels): the child’s first name - that is the whole resource.
We also send fixed instructions of our own with every request: the writing and illustration rules that keep resources gentle, inclusive, Australian and age-appropriate (sun-safe hats, safe sleep, no nuts, native animals, respectful representation of Aboriginal and Torres Strait Islander peoples, no brands, no religious instruction).
What is never sent
- Photographs or video of children, staff or families: there is nowhere to upload them.
- Surnames, dates of birth, addresses, medical, allergy, family or custody details.
- Your centre's name, your email address or your name. The US AI provider receives a scrambled account reference, used only for its abuse monitoring; our media partners see a request, not a person.
- Anything about a child you did not type yourself.
Who does the generating
KindyStudio does not run AI models itself. The words (the plan, the story text, the program link, the studio assistant's answers) are written by a US AI provider. We send every request with storage turned off and, to the best of our knowledge under that provider's published terms for business use, requests are not used to train its models. If it is unavailable, the writing falls back to our media partners.
Pictures, narration, songs and video are made by our media partners overseas, specialist providers of image, voice and video generation, through a private connection. They process requests on servers outside Australia (including the United States) and return the result to us. [CONFIRM WITH MEDIA PARTNERS: request data is deleted after processing and is never used to train models.] The finished resource is stored in our private storage in Sydney and shown to you through short-lived links; on a share page those links expire after one hour.
The studio assistant
- The assistant answers from your own library and the app's rules, and can suggest and prepare resources.
- It proposes; you confirm. Anything that spends credits, shares a link or changes a resource appears as a card with the price, and nothing happens until you press its button. Cards expire after 15 minutes.
- It cannot charge, refund, change your plan, send email or delete anything about your account.
- It refuses details about an individual child beyond a first name, the same as the forms.
- We keep no chat history on our servers: the conversation lives in your browser tab and is gone when the tab closes.
Safety checks before and after generation
- Every topic, name and wording you type is screened before anything is sent: violence, sexual content, self-harm, drugs, hate, medical instruction, religious instruction, real people and copyrighted characters (Bluey, Peppa Pig, PAW Patrol and friends) are refused with a plain explanation and, where we can, an original alternative.
- Your text is passed to the AI as content to write about, never as instructions; the AI is also asked to refuse anything unsuitable for children aged 0-6 and we refund the credits when it does.
- Home-language captions are machine translated and are labelled as such - please check them with a family member or bilingual educator before sending them home.
- Every share page carries a "Report this resource" link and a link for a child's parent or carer to have it taken down at once, without an account. You can also report any resource to us at the contact below. Reports go to a person, not a machine.
AI can still make mistakes: a word out of place, a picture that is not quite right, a fact about your service it could not know. The educator is the final check. Please read every page, listen to every narration and watch every video before a child does. KindyStudio resources are a starting point for your program, not a substitute for your professional judgement.
Where the data lives and for how long
- Accounts and resources: our database and file storage in Sydney, Australia, until you delete them.
- Writing requests: sent to the US AI provider with storage turned off.
- Picture, narration, song and video requests: with our media partners while the request is being processed. [CONFIRM WITH MEDIA PARTNERS: retention period]
- Instructions used to make each picture, narration or clip are cleared once it is made; failed or cancelled resources are deleted after 30 days.
- Purchase records: kept as Australian tax law requires, with no child's details.
Your controls
- Make any resource without a child's name.
- Confirm family consent before a name is used - we keep a record of that confirmation for you.
- Delete a resource (and its files) from your library at any time.
- Close your account from Settings; everything you made is deleted.
- Ask us what we hold about you, and for a copy, at the contact in our Privacy Policy.
For your policy folder
A one-paragraph statement you can paste into your service’s digital technologies policy: “Educators may use KindyStudio to prepare learning resources. Only a child’s first name (with family consent) and a topic sentence are entered; no images or other personal details are uploaded. Resources are reviewed by an educator before use with children. Data handling is described at kindystudio.com/ai and kindystudio.com/privacy.”
